# Meeting Follow-Up Template

A before, during, and after kit so you walk out with decisions and owners, not a foggy memory.

## Before: prep brief

- Meeting: [MEETING TYPE] with [WHO] about [TOPIC] on [DAY]
- What this meeting is for, in one sentence: [PURPOSE]
- Already decided: [ITEMS]
- Still open: [ITEMS]
- What I owe the others: [ITEMS]
- Three questions to ask: [Q1] / [Q2] / [Q3]
- Gaps to look up first: [ITEMS]

## During: capture fragments

Fragments are enough. Mark the moments that matter.

- Decision: "[WHAT WAS AGREED]"
- Task: [WHAT] — [WHO]
- Date mentioned: [DATE] for [WHAT]

## After: recap and actions

**Decided:** [ONLY THINGS CLEARLY AGREED]
**Still open:** [DISCUSSED BUT NOT SETTLED]

| Task | Owner | Due |
| --- | --- | --- |
| [TASK] | [NAME or unassigned] | [DATE or not set] |
| [TASK] | [NAME or unassigned] | [DATE or not set] |

**Needs clarifying:** [ITEMS MISSING AN OWNER OR DATE]

## Ready-to-paste prompts

**Decisions-first recap and action list:**

```
Here are my raw notes from a meeting: [PASTE NOTES]
Attendees: [NAMES]
Write a recap with three headings: Decided (only things clearly agreed),
Still open, and Next steps. If something sounds like a decision but the notes
don't make it clear, put it under Still open. Then list every action item as:
Task — Owner — Due. Do not guess owners or dates; write "unassigned" or "not set"
and give me a short Needs clarifying list.
```

**Follow-up email:**

```
Turn this recap and action list into a brief follow-up email to the attendees.
Friendly, plain tone. Lead with decisions, then action items, then one line
asking people to reply if I've got anything wrong. Under [NUMBER] words.
```

## How to use this in 10 minutes

1. (2 min) Before the meeting, fill in the prep brief from the last email thread.
2. (during) Jot fragments only. Do not try to write perfect notes.
3. (5 min) Within the hour, paste your fragments into the recap prompt and read the result against your own notes.
4. (3 min) Fix owners and dates, run the email prompt, and send.

Check that every "Decided" item was truly agreed. If you want to use a recording or transcript, make sure everyone knows and your organization allows it. Keep sensitive meetings (HR, legal, performance) out of this workflow unless the tool is approved.
